This policy explains when and how you can cancel a purchase and what refund you will receive. It covers our three product types:

If you cancel a confirmed booking, the following cancellation fee applies. The remainder of what you paid is refunded to you.

Why these fees exist. Our experiences are small-group sessions with fixed capacity. As your event approaches, the host, instructor, venue, and materials for your seat are arranged and committed, and a seat released shortly before the event is very difficult to resell. The fee schedule above is set by reference to the average loss we expect to incur at each stage.
Canceling part of a booking. Cancellations currently apply to the entire booking — individual participants cannot be canceled separately through your account page. If you wish to reduce the number of participants in a booking rather than cancel it entirely, contact us at info@chairman.jp before canceling; where we can accommodate a partial cancellation, the fee schedule above applies to the price paid for each removed participant, based on the date of your request, and the rest of the booking is unaffected.
Days are counted as calendar days in Japan Standard Time (JST), the time zone where all experiences take place. The day of the event itself is day 0; the day before is day 1, and so on.
Example: For an experience held on August 10, you can cancel free of charge until 23:59 JST on August 3 (7 days before). A cancellation made at any time on August 4 through August 8 JST incurs the 30% fee, a cancellation on August 9 JST incurs the 50% fee, and a cancellation on August 10 JST receives no refund.
Note that JST may differ significantly from your local time. The deadline is always determined by the clock in Japan.
When you submit a cancellation request, your seat is immediately released and made available to other customers. For this reason, a cancellation request cannot be withdrawn or reversed, and a canceled booking cannot be restored — even if you change your mind moments later. If you still want to attend, you will need to make a new booking, subject to availability and the then-current price.
A contract for an experience is formed only when we issue a booking confirmation after successful payment.
If an event cannot be held, or cannot be held safely — for example due to severe weather, instructor illness, or other circumstances beyond reasonable control — we will notify you as soon as practicable, and you choose one of the following:
If we cannot offer a suitable alternative session, you will receive a full refund. We will never force you to accept credits, points, or vouchers instead of a refund.
Please note that, except where the cancellation is caused by our intentional misconduct or gross negligence, we are not responsible for incidental costs you incur in connection with a canceled event, such as flights, other transport, accommodation, or visa fees. We recommend appropriate travel insurance.
Our experiences are leisure activities provided on a specific date or period. Under Article 16(l) of the EU Consumer Rights Directive and regulation 28(1)(h) of the UK Consumer Contracts Regulations 2013, the statutory 14-day right of withdrawal (cooling-off right) does not apply to these bookings. Your cancellation rights for experiences are those set out in this Section 1. This does not affect any other rights you may have under the mandatory laws of your country of residence.
You may cancel for a full refund at any time before your course has started for you — meaning no live session of your course term has yet taken place and you have not accessed any archive recording. There is no deadline for this window: you can cancel the day after you purchase or the day before your first session and receive a full refund either way, because we have not yet begun providing the course to you.
Once your course has started for you — meaning at least one live session of your term has taken place, or you have accessed an archive recording — the course fee is non-refundable, except:
Sessions count as "started" once they have been held during your course term — whether before or after your purchase, and whether or not you attended — because every held session was made available to you, live and as an archive recording, while your enrollment was active (see Section 2.3).
If you miss a live session, you can catch up by watching the archive recording of that session. Missing a session does not change your refund entitlement under Sections 2.1–2.2 above — what matters is whether the session was held, not whether you personally attended.
A session that we cancel and do not hold does not count as "started" under Section 2.2. If we cannot hold a session, we will reschedule it or make an equivalent catch-up available. If we discontinue a course before all sessions are held, we will refund the price of the sessions not held, calculated per session.
When we refund a course, your enrollment and access to all archive recordings for that course are revoked at the time of the refund. If the course would have qualified you for a Premium Experience, that eligibility is also removed. If you already hold a confirmed Premium Experience booking that relied on that eligibility, we will cancel the booking and refund it in full, with no cancellation fee.
If you accidentally purchase the same course more than once, the duplicate purchases are consolidated into a single enrollment — buying twice does not create two seats. Contact us and we will refund the duplicate payment(s) in full. This applies regardless of whether your course has started.
Because courses are delivered to you online at home, EU and UK consumers have a statutory 14-day right of withdrawal from the date of purchase. This is more generous than, and layered on top of, the general rule in Sections 2.1–2.2. Here is how it works with our courses:
Fair use. Notwithstanding this Section, we reserve the right to refuse a refund, except where required by law, if you have already watched a substantial portion of the course archives before requesting a refund, or your account shows a pattern of repeated purchases and refunds that indicates the process is being used to consume content for free.
How to withdraw. To withdraw, send us a clear statement of your decision (for example by email to info@chairman.jp) before the 14-day period expires. You may use the model withdrawal form in Appendix C, but it is not obligatory. It is sufficient to send your withdrawal before the period expires. We will reimburse you without undue delay and no later than 14 days after we are informed of your withdrawal, using the same means of payment you used.
This Section supplements, and does not reduce, Section 2.1 — whichever treatment is more favorable to you applies. Nothing in this policy limits any non-waivable rights you have under the mandatory consumer protection laws of your country of residence.
We do not currently ship physical materials or starter kits. If we offer them in the future, the following will apply to the physical goods only; the course itself remains governed by Sections 2.1–2.7:

If I am a resident of the EU or UK, I acknowledge that under my statutory 14-day withdrawal right (Section 2.7), withdrawing after my course has started means a proportionate amount for the sessions already provided will be deducted from my refund, and that I will lose this right once the course has been fully performed.
The following checkbox is presented at checkout for all Experience and Premium Experience bookings:

Complete and return this form only if you wish to withdraw from the contract. You may also withdraw by any other clear statement (see Section 2.7).
